The Logbook is FacilityApps’ messaging, ticketing, and complaints module. It is designed to enable real-time communication with customers, ensure all stakeholders work with the same information, and reduce lost messages from personal channels like WhatsApp or email.
This module helps management monitor first response and resolution times effectively.
Logbook Form Definition
The Logbook form is configurable via the Form Designer, with three required, non-editable fields:
- Subject
- Type of message
- Message
Availability
Logbook is accessible in both the Portal and the App.
Portal Features
- Quickly close, delete, or reopen multiple items from the overview
- Create new tickets with the “Create Ticket” button
- Respond to tickets with text and image attachments using the “New Answer” field
Communication Streams
1. Logbook PDF (Form Settings)
Sends a PDF of the logbook ticket via email upon creation.
2. Logbook Messages (Module Settings)
Email messages can be sent upon:
- Ticket creation
- Replies
- Closure
- Deletion
Recipients can be defined per Logbook Type.
Flows Based on Logbook Type
Use Settings > Modules > Logbook to create specific flows. For example, notify the Commercial department for new quotation requests or Maintenance for defects.
Linked Tasks
Tasks can be created from Logbook tickets and are automatically linked. You can view task statuses via the “Linked Tasks” tab. Floor/Space info will also be copied if available in the Lookup Table.
Logbook History
All changes are tracked in the “Logbook History” tab.
Corrections
If a message has incorrect information, you can correct it with the right permissions.

Push Messages
Real-time push notifications can be configured for the above events using the Automation Plugins module.
Dashboards
